As a Human Resources and Payroll Specialist at DependableIT, you will be responsible for managing payroll processes, employee records, benefits administration, and supporting recruitment and employee relations. This role requires collaboration with various departments to ensure efficient operations and compliance with HR policies and health and safety standards. You will contribute to the development of company policies, maintain strict confidentiality, and help foster a positive working environment for all employees.
Responsibilities
- Payroll & Benefit
- Maintain Ceridian Dayforce system, ensuring accurate updates to employee records, including position, salary, vacation and benefits
- Process bi-weekly payroll accurately and timely for federal and multiple provinces employees.
- Ensure employee movements (e.g., leaves of absence, terminations, department changes) are accurately processed.
- Ensure employee benefit enrolments, changes, terminations, beneficiaries, etc.
- Serve as the first point of contact for any questions.
- Prepare and submit monthly, quarterly, year-end or as-required reports and respond to inquiries.
- Employee Relations and Support
- Assist in resolving employee issues and/or conflicts within the organization.
- Maintain and promote working relationships of trust and respect with employees, and managers.
- Handling employee's inquiries regarding policies, payroll, and benefits.
- Complete necessary documents, employment letters and other payroll records.
- Assist with managing employee relations matters, including conducting investigations, documenting incidents, and providing advice on dispute resolution processes.
- Recruitment and Onboarding
- Post job advertisements and prepare offer letters for new hires.
- Coordinate the onboarding process, ensuring all necessary paperwork is completed.
- Health and Safety Compliance
- Coordinate the corporate Health and Safety program, the Joint Health and Safety Committee (JHSC), and other applicable staff committees.
- Oversee Health and Safety initiatives, policies, and document updates to ensure legislative compliance.
- Work with managers and supervisors in the effective management of absences and accommodation of workers related to injury, illness, and/or disability.
- Manage WSIB Claims.
- Support Health and Safety Training and Policy Updates.
- Reporting and Policy Compliance:
- Prepare monthly payroll and HR reports for the finance department.
- Stay updated on HR laws, regulations, and best practices to ensure compliance. Assist in drafting and updating HR policies and procedures accordingly.
- Assist leadership in implementing new or revised policies.

- Strong interpersonal skills and ability to build relationships with employees at all levels.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field (or an equivalent combination of education and experience).
- Previous experience in a similar role as an HR Administrator or HR Assistant is preferred.
- Knowledge of HR best practices and current trends and provincial legislations.
- Familiarity with various HR processes, such as recruitment, onboarding, payroll, and employee relations.
